Our goal is to create a customized program, lodging, and spa schedule for you that reflects your goals and needs. These policies are created to provide exceptional experiences for our guests, staff, and therapists.
PROGRAM AND LODGING POLICIES
RESERVATION ACCEPTANCE
There may be reservations we are unable to accept and must cancel. At our sole discretion, we reserve the right to refuse or cancel any reservation for any reason. Your reservation might be canceled because of limited availability of rooms, inaccuracies or errors in pricing information, fraud, theft, personal dietary constraint, and others. You might need additional verification, information, or identification to accept your reservation. We may contact you if your reservation is canceled or if additional information is required to accept your reservation.
RESERVATION CHANGES AND CANCELLATION(S)
Deer Lake Lodge Spa Resort accepts reservation changes and cancellations if you need to cancel.
If you cancel 15 days or more before your check-in date, you will receive a full refund minus a $100 cancellation fee.
If you cancel within 14 days or less, you will not receive a refund; however, we will reschedule your package for use within the next 12 months. There will be a $50.00 rescheduling fee.
If you need to change the date of your reservation 15 days or more before your check-in date, you will not be charged for any change.
If you need to change your reservation date within 14 days or less of your check-in date, you will be charged a $50.00 rescheduling fee.
Refunds and rain checks will not be issued due to inclement weather.
ADDITIONAL GUEST INFORMATION
Deer Lake Lodge Spa Resort requires 100% prepayment for the program and lodging reservation.
Guests found in the act of or with evidence of smoking while on Deer Lake Lodge Spa Resort premised will incur a minimum of $500 fine per occurrence.
Deer Lake Lodge Spa Resort reserves the right to charge an early departure fee if a guest leaves earlier than the original departure date.
Guests should ensure their resort room door is properly secured at all times. Deer Lake Lodge Spa Resort cannot be held responsible for any personal items and valuables left in rooms.
Guests will be held responsible for any missing or damaged items in their Guest hotel room and/or any internal/external areas of Deer Lake Lodge Spa Resort. This liability extends to both registered guests and their visitors. Deer Lake Lodge Spa Resort reserves the right, with or without notice, to place a charge for the value on your credit card.
ARRIVAL AND DEPARTURE
Arrival: Our ROOM check-in time is 1:00 pm.
We suggest arriving early to take advantage of a full day of classes, services, and treatments.
Our first class is at 10:00 am.
Luggage storage and lounge areas are available upon arrival.
Departure: Our ROOM check-out time is 12:00 pm.
Registered guests may stay for the remainder of the day, continue the program, enjoy the facilities, and receive spa treatments and services.
Luggage storage and lounge access are available.
Guests must leave the property by 5:00 pm on their ROOM departure.
Late Check-Out or Extra Room Nights:
Guest may request a late check-out for a $35.00 fee.
Guests may arrange extra nights in advance to avoid late checkout fees.
Extra nights are charged daily and may be granted if available.
If Guests are not present when cleaning crews arrive and have left their possessions in the house, cabin, or suite, the cleaning crew will collect their possessions and remove them from the premises to prepare the unit for incoming guests, and Guests will be charged $150 for this service.
SPA POLICIES
Our spa services policies are designed to best serve you, our guests, and our therapists during your visit to Deer Lake Lodge Spa Resort.
Please communicate all special needs or requests to the front desk staff when booking your treatment(s).
If you require a male or female therapist, please request at booking.
Please advise us if you have a medical condition(s) and/or are under a physician’s care.
Please speak with the front desk staff during regular business hours if you require changes to your booked services and/or treatments.
A 20% gratuity will be added to each spa service, treatment, or class.
Please arrive in the front lobby 10 minutes before your appointment time.
Late arrival lessens your treatment time.
The use of cell phones/tablets/computers is prohibited in guest-use areas and treatment rooms.
Please remove all jewelry before services.
CHANGES AND CANCELLATION(S)
As a courtesy to your therapist and to other guests, Deer Lake Lodge Spa Resort requires change or cancellation of services, treatments, or classes to be made 24 hours before your scheduled time. In the case of a “NO SHOW” or a cancellation without adequate notice, 100% of the treatment, service, or class price + gratuity will be added to your authorized credit card and reflected on your final bill.
RESORT FACILITIES POLICIES
These policies apply to the entirety of the resort and its facilities, including but not limited to, lodging rooms, cabins, suites, lounges, treatment rooms, classrooms, public areas, swimming pool, and pond.
DAMAGE AND/OR THEFT OF DEER LAKE LODGE SPA RESORT PROPERTY
You are liable for any damage or theft caused, whether by intention, negligence, or reckless act to DEER LAKE LODGE premises or property, and/or room(s) caused by you or any person in your party whether or not staying at the LODGE during your stay. DEER LAKE LODGE reserves the right to retain your credit card and/or debit card details as presented at booking and/or registration and charge the credit /debit card in such amounts as it shall, in its sole discretion, deem necessary to compensate or make good the cost or expenses incurred or suffered by Deer Lake Lodge as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right, and you hereby authorize us to charge your credit or debit card for any damage or theft incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally before contracting a specialist to make the repairs, and therefore will make
every effort to keep any costs that the guest would incur to a minimum.
DAMAGE DISCOVERED AFTER CHECK-OUT: Guest Rooms found with waste scattered around, in complete disorder, and/or destroyed will be subject to a minimum $500.00 maintenance deep cleaning fee, administration fee, and/or third-party fees.
DAMAGE TO AND/OR THEFT FROM ROOM: Damage to or theft from rooms, fixtures, furnishing, and equipment, including but not limited to the removal of linens, pillows, towels, electronic equipment, artwork, etc., will be charged at 150% of total and new replacement value plus any shipping and handling charges. Any damage to or theft from Deer Lake Lodge property, whether accidental or willful, is the responsibility of the registered guest for each room. Any costs associated with repairs and/or replacement will be charged to the registered guest's credit card. In extreme cases, criminal charges will be pursued.
DAMAGE TO MATTRESSES AND BEDDING: Damage to mattresses and linens, including but not limited to; pillows, towels, mattress pads, sheets, bedspreads, and blankets resulting from the use of body oils, make-up, shoe polish, etc., will result in a charge for the special cleaning, repair, or replacement of the damaged article.
DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT: Deer Lake Lodge reserves the right to act against any guest or visitor found to have tampered or interfered with any detection equipment throughout the Resort, including detector heads in public areas, guest rooms, break glass points, and fire extinguishers. Guests or visitors found to have tampered with any fire detection, or fire-fighting equipment will be charged with any costs incurred by Deer Lake Lodge due to their actions and will be evicted from the Deer Lake Lodge. Depending on the severity of the guest's actions, law enforcement may become involved at
the hotel’s discretion. Should the fact that firefighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right, and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.
PERSONAL PROPERTY
Guest understands that any personal property of and used by Guest is not insured by Deer Lake Lodge Spa Resort, and Deer Lake Lodge shall not be responsible for any lost, stolen, or missing property of the Guest or property of Guest left after check-out.
CONDITION OF PROPERTY
To the best of its ability, Deer Lake Lodge Spa Resort gave an accurate description of the property and its condition.
Guest understands that it is considered as reserved "sight unseen.”
Our cleaning staff will have cleaned it before your occupancy.
All electrical, plumbing and appliances should be in working order.
The failures of the operation of certain extra amenities, such as TVs, Cable, DirectTV, or the Internet and WiFi service, are not a basis for any refund.
Deer Lake Lodge will make every effort to have these items repaired but does not guarantee that they will be repaired during Guest occupancy.
When you arrive, if you find that the cabin or suite has not been cleaned to usual standards, please notify Deer Lake Lodge immediately.
We will do our best to have tradesmen attend to the problems but may be unable to fix everything over holidays and weekends.
Under no circumstances will any of the rental money be refunded or returned because of the condition of the resort, resort facilities, cabin, or suite.
The Guest agrees to hold Deer Lake Lodge harmless from any liability for the condition of the resort, resort facilities, cabin, or suite.
Due to the nature of the resort properties in natural settings, the sand, stairs, decks, and concrete are not always stable. Use at your own risk.
NATURAL CONDITION
Guest understands Deer Lake Lodge Spa Resort has no control over the condition of the NATURAL FOREST, CREEK, AND POND setting and cannot be held liable for any changes to natural conditions.
FURNITURE
All furniture must be returned to its original location on the Guest's departure, or an additional charge will be made.
SAFETY POLICIES
NO FIREARMS AND WEAPONS
Our guests and staff's safety and security are extremely important to us. This is designed to protect our guests, vendors, staff, and owners and pertains to the presence of firearms and weapons on hotel premises.
Deer Lake Lodge recognizes that guests and vendors may legally possess firearms or weapons for various legitimate purposes.
Guests and vendors who fail to abide by our policy may be asked to leave the Resort premises, be subject to trespass, and be subject to further legal action.
Exempted from this policy are law enforcement officers and designated military personnel who are on duty and required to carry firearms to perform their duties.
No exemption to this policy is allowed for private persons, even those licensed and permitted to carry a firearm openly or concealed under local, state, or federal law, which are exempt from this policy.
Our policy is to promptly turn over any firearms left on the property.
NO SMOKING
Guests found in the act of or with evidence of smoking while on Deer Lake Lodge Spa Resort premised will incur a minimum $500 fine per occurrence.
Evidence of smoking, such as the smell of cigarette or cigar smoke inside the suite, cabin, lounge, or other areas, is sufficient to charge guests for smoke cleanup and removal from carpeting, AC ducts & filters, and furniture.
NO BURNING OF CANDLES, INCENSE, ESSENTIAL OILS, OR OTHER BURNABLE OBJECTS
Candles, incense, and essential oils (diffusing, vaporizing, etc.) are prohibited.
These items and activities will be treated as smoking, a fine accessed, and the guest may be evicted without refunds.
A minimum $500.00 cleaning fee will be charged to any guest who violates this policy.
NO COOKING, COOKING APPLIANCES, COMBUSTIBLES, OR FIREWORKS
Except for the refrigerator units that the hotel provides, food preparation in guest rooms by any cooking appliance is prohibited.
A minimum fee of $500.00 will be charged for cooking in a room, including, but not limited to, coffee makers, hot plates, toaster ovens, water heaters, rice cookers, combustible, open flame, barbecue grills, burners, heating appliances, or any other item intended for cooking.
Open fires, flames, cooking grills, either charcoal or gas, and fireworks are not allowed anywhere on hotel property.
All these items will immediately be removed by our staff.
NO PETS
No pets are allowed. If you bring a pet(s), this agreement will be forfeited or terminated, deposits will be retained, and a deep cleaning fee will apply.
NO PARTIES BY GUEST(S)
All disruptive parties are prohibited. Guests who violate this policy will be asked to immediately leave the property. All deposits and payments will be retained, and cleaning fees will apply.
CHILDPROOFING
Guest understands that no special efforts have been made to “childproof” this property and accept the risk of harm to any children we allow on the property. These risks are not limited to, but include, access to the pond, creeks, forest, pool, resort property, cleaning supplies, plants, and animals or insects that might be poisonous if ingested.
ASSUMPTION OF RISK
Swimming pool, pond, creeks: No lifeguard may be on duty. Accordingly, persons using the pond, creeks, or pool do so at their own risk, and Deer Lake Lodge assume no responsibility for accident or injury. No one should swim alone. Renters will hold the Lodgers harmless from any and all bodily injury and/or property damage incurred on the property arising from Renters' negligent acts or omissions.
Equipment usage: Deer Lake Lodge Spa Resort is not liable for any such personal injury, death, or property loss and/or damage in the event of unsupervised use of equipment such as The Plate, Infrared Sauna, hiking/walking trails, swimming pool, hot tub/jacuzzi, pond.
Guests understand that Deer Lake Lodge and The Grand Hall are not responsible for any personal injury caused by slipping on wet pavement or surfaces and that guests are responsible for exercising care when surfaces are wet or slippery due to weather or the use of hoses to wash down areas, and further, that The Grand Hall or Deer Lake Lodge is not responsible for any personal injury or loss or damage to tenants’ property caused directly or indirectly from foul, inclement weather conditions, Acts of God or nature, failure of heat, accidents related to fire, heaters, stoves, tenants’ failure to take adequate precautions around wet areas, or any unforeseeable circumstances.
Under no circumstances will Guests hold Deer Lake Lodge responsible for any damages or claims of any kind resulting from their stay.
USE OF SECURITY CAMERAS
Guests understand and accept that the property is protected with outside security cameras. These cameras are used to protect the property from potential break-ins and theft. There are NO cameras inside the house, cabin, or suite.
ACCURACY OF INFORMATION
Deer Lake Lodge Spa Resort makes every effort to ensure accurate pricing and product information. Errors such as pricing or typographical errors may occur. Deer Lake Lodge Spa Resort shall have the right and sole discretion to refuse or cancel any reservation place for that room, package, or product if an error has occurred. If a room, package, or product is mispriced, Deer Lake Lodge may contact you with information regarding the error or cancel your reservation and notify you of the cancellation. If your credit card has been charged, we will issue a credit to your card in the amount of the charge.
PRIOR AGREEMENTS
No prior agreement or understanding not contained in writing herein shall be effective. Furthermore, Deer Lake Lodge, other than what is specifically written and set forth herein, makes no other or further representation regarding the nature, character, and quality of the premises to be rented, and no representation shall be deemed to exist or be material unless and until it is reduced to in writing and signed by the parties. This Rental Agreement may be modified in writing only and must be signed by the parties in interest at the time of the modification. It constitutes the entire agreement of the parties. If any provision in this contract is held by any court to be invalid, void, or unenforceable, the remaining provisions shall nevertheless continue in full force.
ENTIRE AGREEMENT
This Agreement contains the entire agreement of the parties, and there are no other promises or conditions in any other agreement, whether oral or written. This Agreement supersedes any prior written or oral agreements between the parties.
AMENDMENT AND ASSIGNMENT
This Agreement may be modified or amended if the amendment is made in writing and is signed by both parties. Neither party may assign or transfer their respective rights or obligations under this Agreement without prior written consent from the other party.
SEVERABILITY
If any provision of this Agreement shall be held to be invalid or unenforceable for any reason, the remaining provisions shall continue to be valid and enforceable. If a court finds that any provision of this Agreement is invalid or unenforceable but that by limiting such provision, it would become valid and enforceable, then such provision shall be deemed to be written, construed, and enforced as so limited.
WAIVER OF CONTRACTUAL RIGHT
The failure of either party to enforce any provision of this Agreement shall not be construed as a waiver or limitation of that party's right to subsequently enforce and compel strict compliance with every provision of this Agreement.
APPLICABLE LAW
This Agreement shall be governed by the laws of the State of Texas, and the venue shall be Montgomery County, Texas.
The individual, agent, or entity reserving a space at Deer Lake Lodge Spa Resort, along with guests and any contracted labor, will hold Deer Lake Lodge, all employees, and affiliates, individually and jointly, and severally harmless for any loss, damage, or injury to person or property resulting from the use, occupancy, or possession of the premises. All disputes arising out of or in connection with the present contract shall be finally settled under the Rules of Arbitration of the International Chamber of Commerce by one or more arbitrators appointed in accordance with the said Rules in Montgomery County, Texas.
BOOKING AGREEMENT
By authorizing Deer Lake Lodge Spa Resort to Charge the account you have specified, it is agreed by you, the purchaser, and Deer Lake Lodge Spa Resort that you are purchasing a Cleansing Package and/or Spa Services from Deer Lake Lodge Spa Resort according to the terms of this agreement and the terms & conditions on our website. Your permission to charge the credit card on file indicates your agreement to be bound by the terms, conditions, rules, and regulations of this agreement.
You also consent to the immediate payment of all charges incurred upon receipt of the statement or on departure; any charges after departure are to be charged to the method of payment marked, and a statement will be forwarded to the customer email on file.
All of the terms and conditions in this agreement and those on our website are part of this agreement.
